About OneDrive :

OneDrive is a cloud storage platform that allows users to store, share, and access their files from anywhere.  OneDrive is available from Windows, macOS, mobile, and online.  

 

Account eligibility:

The affiliations listed below have access to GT's OneDrive:
Faculty, Staff, Tech Temps, Affiliates, Credit Students, Working Retirees, GTRI/GTRC Employees, and LI Students

Signing in:

Desktop app -> "OneDrive" app using GT email address

Online through a web browser -> https://gtvault-my.sharepoint.com using GT email address.

 

File syncing:

During OneDrive setup, users will be prompted to select the folders to be synced.  By default, the selected folders will include Desktop, Documents, and Downloads.

What do the OneDrive icons mean?

 

File ownership - individual (OneDrive) vs. team (Sharepoint):

A user's OneDrive is their personal locker in the cloud.  Files are owned by the individual user and is a great option for storing work in progress or sharing with specific individuals.  Documents stored in a user's OneDrive are private until you share them.  A user's OneDrive files will no longer be available to those they have been shared with once the user has left GT. 

Alternatively, SharePoint is a full-feature shared workspace for MS Teams or MS Groups.  Files stored on a team's SharePoint are owned by the team and will persist after the original creator has left the group.

 

Access to a team SharePoint site:

SharePoint sites are generated when a Microsoft Team is created.  Anyone with a GT Microsoft license has the ability to create a MS Team for their needs and add/remove members and owners at their discretion.   Members can be external to Georgia Tech.  

 

Version control:

Microsoft tracks activity performed on files and users are able to see when a file was changed and who made the changes.  Version history also allows previous versions of the file to be restored or downloaded. 

 

Data retention:

All data contained within the exiting employee’s OneDrive repository will be deleted 30 days after their last day (as entered within the HR system).
